TERMS AND CONDITIONS

Reservation and Confirmation
Reservations should be made via our online Request Form and sent it directly to Vietnam Travel Solutions’ office in Hanoi.  Upon confirmation of a reservation, a deposite of full amount for the airfare and 30% (thirty percent) of tour cost are requested. The rest of the payment for the total tour or business service package should be paid to Vietnam Travel Solutions at least 30 days prior to clients’ arrival. Failure to comply may result in cancellation of the Client’s bookings without any refund of sums already paid to Vietnam Travel Solutions by the Client. Client may choose to pay the full price rather than a deposit, thereby avoiding a second transfer fee.

*** For all Urgent Booking which is less than 30 days to the tour departure date: Full Tour/Service payment is required upon confirmation.  

Cancellation
Vietnam Travel Solutions reserves the right to levy cancellation fees when such charges are levied by suppliers, hotels, carriers, restaurants or any other contractors. Charges may also be levied at the sole discretion of Vietnam Travel Solutions for planning, consulting and ancillary expenses etc. Cancellation charges would be effective from the date Vietnam Travel Solutions receives Client’s cancellation notice in writing and would be applied as follows:

•  From 30 working days prior to arrival date: 20% of total tour/service cost. 
•  From 15 working days prior to arrival date: 50% of total tour/service cost. 
•  From 05 working days prior to arrival or no show: NO REFUND of total tour cost.

There will be NO REFUNDS given for any unused or missed ground arrangements, sightseeing, meals or hotel accommodations. 

Children Policy  

• Infant (less than 2 years old) : free of charge
• Child under 12 years old sharing room with two adults without extra bed: charge 70 % of the tour price

• Child under 12 years old sharing room with two adults with extra bed: charge 80 % of the tour price

• Child under 12 years old sharing room with one adult: charge 90 % of the tour price.

• Airfare for children follows airline policy.

Payment
Payment can be made by cash, credit card, telegraphic transfer or Moneybookers. Except for cash payment, a service charge may apply. Any bank charges levied by the sending bank relating to transfers to Vietnam Travel Solutions must be paid by the Client. A surcharge of 3% will be applied to payment by credit cards. Service vouchers will be issued one week before the departure date.

If you wish to pay by credit card, we accept Visa, Master, American Express and JCB.  We connect with OnePay Payment Gateway to accept Online Card Payment (www.onepay.vn). All of your card information are procesed through SSL protocol with international card security standard.

We will make your booking and send you a confirmation within 3 working days once your payment has been processed.

Insurance
Clients are highly recommended to obtain personal travel insurance on their own since Vietnam Travel Solutions will not be liable for any accidents, illnesses, thefts or losses occurring during their holidays. See Liability clause for detailed information.

Liability
Vietnam Travel Solutions is committed to provide the Services to the best of its capacity and upon the satisfaction of the Client. However, acting only as an intermediary between its clients and airlines, hotels, transport operators and other contractors, Vietnam Travel Solutions shall in no event be liable to its Client for any accidents, loss, injury, damage, death, delay as a result of any circumstances not attributable to the negligence of willful default of Vietnam Travel Solutions including any act or event beyond the control of Vietnam Travel Solutions and its contractors. Vietnam Travel Solutions shall not be responsible and/or liable for additional expenses and/or damages incurred due to any delay, accidents, natural disaster, political action, unrest, strikes, acts of war or other force majeure.
Vietnam Travel Solutions also reserves the right to to adjust the itinerary or to substitute hotels or to cancel a tour prior to departure in the best interest of its clients with or without prior notice.

Claims
All disputes, claims and litigation regarding the services will first be settled by way of negotiations and mutual understanding. In the event such negotiations and mutual understanding fail. The disputes, claims and litigation will be finally settled by arbitration of the Vietnam International Arbitration Centre (VIAC) at the Chamber of Commerce and Industry of the Socialist Republic of Vietnam. All claims must be submitted in writing within 30 days after the end of the services.

Vietnam Travel Solutions reserves the right to amend or alter any of the above terms and conditions from time to time.
